When to use it
You have interview notes or transcripts and need to separate repeatable signals from memorable anecdotes.
Bring these inputs
- A specific product decision and target segment
- Permission-cleared, de-identified notes with source IDs
- Known sampling gaps and the questions asked
Follow the method
Step 1. Write the decision first. Define what the team could do differently after reading the brief and which customer segment it concerns.
Step 2. Prepare the evidence. Give each participant a neutral ID, remove identifying details and preserve a link or timestamp for each observation.
Step 3. Extract observed behaviour, reported needs and your interpretations separately. Ask AI to suggest themes using source IDs; require it to label missing or ambiguous evidence.
Step 4. Check every proposed theme against the original notes. Look for contradictory cases and distinguish the number of participants from the number of repeated mentions.
Step 5. Write the brief: top problems, supporting evidence, counterexamples, affected segment, confidence and unanswered questions. Describe the sample without treating it as the whole market.
Step 6. Choose the next action. Specify one assumption to test, its owner and what evidence would change your current view.
Quality checklist
- Every finding points to an actual source ID
- Quoted wording matches the original exactly
- Observations and interpretations are visibly separate
- Contradictory cases and sampling gaps are included
- No invented people, quotes, percentages or prevalence claims
